When customers have other active packages or multiple package types such as EFT, credits, minutes, sessions, and prepaid packages. Sessions are deducted as follows:
EFTs are always used first. This includes use-or-lose/rollover sessions added upon a successful draft.
If there are no EFTs on the account, the deduction order applies to Walkin/Prepaid packages.
Prepaid and Walk-in packages (Upon activation) Any purchased packages will be used as long as any of the beds included in the package are used.
Credits/ Minutes: If no Walk-in/Prepaid packages exist, then any existing Credits/ Minutes will be used.
If multiple walk-in/prepaid packages exist on the same account, and they share at least one equipment/room for access, then deduction settings need to be set up in order for the system to determine which package will be used first.
Session and Package names.
There are 2 types of package names to be used in Tan-Link. Package Sale Name and Session Name.
Package Sale Name.
This is the name to be displayed in the cart, and the customer purchase history. The name can include a short description of a promo or package perks/restrictions.
Example: Level 3 Unlimited 30 Days BOGO, 1 LEVEL 1 SESSION
Session Name
This is the name each package box will display when added to a customer account.
You will enter the session name in the Package 1 - 6 box under the Equipment Access, Sessions and Expiration section in Update packages.
Example: LEVEL 1 MONTH, LEVEL 1 SESSIONS, L1 SINGLE SESSION.
IMPORTANT** All session names should be different. Please consider this when adding a session name to Package 1. To prevent mapping issues when selling packages we recommend using a specific name for each type of package.
We strongly recommend using a different session name for each package type even if the bed access is the same. This is to prevent mapping issues when selling packages.
If the same session name exists for add-ons, prepaid, and session packages, your add-on or time-based package may behave as a session package or vice-versa.
Examples:
-For single session level one, use Level 1 session.
-For 5 level one sessions, use 5 Level 1 sessions.
-For 1 month of unlimited level one, (prepaid) use Level 1 Month
-For an upgrade from level one to level two, use Up L1 to L2
The session name is directly linked to the package settings and will keep the SAME settings it had at the moment of the purchase.
Below are examples of settings that session names will keep from the moment they are sold:
-Equipment Access from Package settings
-Expiration # of days in package settings
-Number of sessions in package settings
-Also Deduct list From package settings
Once sold, and the session is added to an account, the settings linked to this session name will not be updated if you make changes to package settings. You will need to sell the package again in order to update the settings for that session name.
How to set up package deduction order on your site:
When multiple prepaid and walk-in packages exist with the same bed access on a customer account, you can edit your deduction settings to determine what package will be used first. Please add all existing packages on your site to the deduction menu. Follow the instructions below
Go to general settings and search for "Deduct Sessions In This Order"
In the Setting box, you will add all of your package session names. The session names are entered without spaces and separated by a comma only. For example: Level 1 Session,Level 1 Month,Level 1 Week
To get a full list of session names, go to Packages > Map Sold Packages - by Beds.
The session names displayed here are the same ones that show on customer package boxes when a package is sold.
These names were originally placed into Package 1, Package 2, etc. during your package setup in Update packages.
Deduction Order Tool
Once the steps listed above have been completed, you will go to Packages> Change Deduct Sessions Order and arrange the session names according to your deduction preferences.
You can drag and drop each package to place them in the order you want them to be deducted.
Packages located at the top of this list will be deducted first.
Typically, you will set your unlimited packages to deduct prior to your session packages. Any free sessions that give access to all equipment are often the last item to be deducted so you will set it at the bottom of the deduction list.
If 2 or more packages on the account have the exact same session name, the session is deducted from the package with the oldest start date.
