To find the different reports available, go to the Reports Menu located on your Tan-Link home page.
By default, only Admins can see reports.
Reports>General Report/Sales Summary
Sales Totals can be found by running the General Report/Sales Summary. Results can be filtered by location name and a specific date range. In this report you'll see the totals for the following items:
Sales Breakdown
EFT Billing
Services
Tax Liability Report
Products
Reports >Sales>Sales Analysis:
Most popular/highest revenue packages and products in a date range. Can also see which account purchased what products/packages, as well as who sold it to them.
Reports > Sales>Daily Summary:
Total sales, Product/Package only sales, Memberships sold, cancellations processed, total tans, breakdown of sales per employee for date range, as well as PCA (per client average) per employee
Reports >Sales> Package Sales:
How many of each package was sold and the MSRP vs. what it was actually sold for.
Reports > Customers>Search Customer by Sessions on Account:
Existing customer packages with the number of sessions and expiration date can be found here.
Any active Customer Packages will be listed. You can filter by package name if needed.
Important*** Run this report with no date range.
Reports > Sales>Sales by Day of Month - Side-by-side comparison of current year sales to prior year. Includes product average and package average, both for the entire month and to date.
Run this report using a date range of at least 30 days.
Reports > Sales>Sales by Time of Day - Hourly breakdown of that day's sales along with the number of tanners for that hour.
The number of tanners is displayed to the right separated from the total sales by a /.
Run this report using a 7-day date range. Start on Sunday and end on Saturday.
Reports > Customers>Export top 500 Customers - Downloads a .csv file of your top 500 highest spending customers of all time as of that date. Report includes phone number, email, address, full name, amount spent, birthday, and package
Reports > EFT/Autobill Reports> Top EFT tanners :
Who is using their EFT the most and how many tans in a selected date range a customer has used on their EFT, the package they are on, and how much they pay per month
EFT Draft Reports
Reports > Monthly Draft (Pending)
This report will show all EFT customers on your site that are pending a draft, what package they are on, how much they are to be drafted, and what date they are to be drafted. Note: Search future dates, not previous dates.
Go to Reports> Monthly Draft Pending and run the report using 01/01/1950 to 01/01/2050 as the date range to see all EFT customers. You can filter by Location name.
Reports > Monthly Draft (Approved) - A list of approved EFT drafts for date range, the package they are on, how much they were drafted, and what date they were drafted. Search previous dates when using this report.
Reports > Monthly Draft (Declined) - A list of declined EFT drafts for date range, the package they are on, how much monthly draft is, and what date the draft attempted. Search prior dates when using this report.
Reports > EFT/Autobill Reports> EFT Performance Report:
Which memberships are still actively drafted in that date range (no names listed), the average draft amount, total tans on that membership, and average price per tan
Redraft Reports
Redrafts can be set up to run on specific days of the month, such as the 8th and 23rd.
Redrafts occur on accounts where the Automatic draft was declined, and the past due balance still exists by the redraft date. It will re-attempt a draft for the declined payment and declined charge.
Reports > Redrafts (Approved):
A list of customers who had a past due amount that were successful on redraft date and how much that was brought current. Search previous dates when using this report.
Reports > Redrafts (Declined):
A list of customers who had a past due amount that was still declined and how much they owe.
Search previous dates when using this report.
Autobill Reports
Auto billing is fully automated as it will set up an automatic draft on the date that you specify for the amount you enter. This payment will be scheduled and processed automatically when the time comes.
You can review the outcome of any auto bill drafts that occur on your site.
Reports > Autobill (All):
A list of all Autobills that are within the date range, if they are pending, approved, or declined, and how much they are/were drafted for along with date.
Reports > Autobill (Approved):
A list of all Autobills that were approved, the date they were approved, and for how much.
Reports > Autobill (Declined):
A list of all Autobills that were declined, the date attempted, and for how much

Employee Reports
Reports >Employee Reports >Employee Performance - What each employee sold, who they sold it to, the price the customer paid, and the date they sold it.
This information can be limited to specifics by putting in keywords such as "Bottle" or "13.5 oz" in the Filter By field. By default, this report will show you all employees that made sales however it can also be filtered by Employee Name.
Reports > Employee Reports>Employee Analysis - Total sales, product sales, package sales in a date range broken down by employee with and without taxes, along with PCA (per client average) for total, products, and packages
Reports> Employee Reports>Audit Reports:
Here you can search for all sales that have been discounted by your staff on products and Packages.
Equipment Reports
Reports> Equipment> Maintenance Log Report:
Tan-Link allows you to keep a record of any replacement parts and the number of hours for each lamp your equipment uses. All logs will be displayed in the Maintenance Log Report according to the dates you enter. You can run the report from a date before you went live with TL until today's date.

Reports >Equipment>Equipment Analysis - A breakdown of how your levels of tanning, each room, and each category are being used in a time range
Product Reports
Reports >Product Reports>Product Performance Report - What products are being sold, ranked from most popular to least popular, the amount sold, the total sale, and the amount remaining in stock
Reports > Product Reports>Product Inventory (All Products) - Inventory list of most in stock to least in stock
Reports > Product Reports>Product Inventory (Dead Stock Only) - Inventory list of products (most to least in stock) that did not get sold in that date range
Reports > Product Reports>Product Inventory (Sold Stock Only) - Inventory list of products that sold, highest to lowest quantity and how many are in stock. Can add or remove products from inventory on this screen.
Reports > Product Reports>Product Inventory (Adjustment Report) - A list of product adjustments where an item was removed, the employee that adjusted the inventory, the note why it was adjusted, and the amount removed from list
Reports >Product Reports>Search Customer by Product - A list of which customers purchased what products in a date range, can be filtered to specify certain products
Reports > Deposit Report - breakdown per location and employee of cash, credit card, checks, autobill, and total amount collected. Can be filtered by employee.
Reports> Marketing:
Here you can export Customer names, emails, and phone numbers. The exported files will also include deleted customers.
Go to Reports> Marketing>Export Customer Phone Numbers. The exported report will include all customer details including their address with city and state.
You can export a list of customer emails from TL by going to Reports Marketing > Export Customer Emails.
Reports> Other Reports> Custom Search:
You can extract specific data from a Custom search. As you use the custom search, please share your feedback. If you run too many filters, it could slow down your site or cause an error. Please reach out for assistance as you try new searches.
Example: To get a list of customer names with location, use the following Filters:
Customer : Location (enter the Location name)
Customer : First Name (Leave Empty)
Customer : Last Name (Leave Empty)

Staff Menu
Staff > Ledger History Report - History of all open/closed ledgers as well as all cash transactions in that date range.
Staff > Time Clock - Time Cards for selected date range.
From here entries can be added, edited or removed.
Staff > Bonus Earned - Commission earned for selected date range. Information also includes any discount notes for the sale, the total commission-able sales for employee, memberships sold, lotions sold, airbrush/sunless tans sold.

Customers Menu:
Customer Check-in history, Order details, Customer balances, EFT drafts and CC payments can be found in the Customers menu.
Customers> Collections & Past Dues - This will show every account that has a past due amount, along with a breakdown of regular monthly payments past due and decline fees.
