Overview
All Tan-Link packages include a rotating inventory check where the system keeps track of when products were counted, and who counted them. It also informs you when the counts don't match your inventory quantities.
Tan-Link will rotate through your entire stock category by category, and then start over once all items in inventory have been counted.
Products listed in your inventory will show up on the screen for counting. Staff will count and enter the quantity. You can choose how many items are counted every hour and how many to display. Then, if a mismatch is found, the system automatically notifies you or the manager you assigned so you can either recount or manually update your existing stock quantities.
Automatic Inventory counting items will pop up every hour on the home screen.
If an item has not been counted in 30 minutes, it will become overdue on the home screen.
Any stock mismatches are reported to the store manager via the system sticky notes.
You can also go to Staff > View Inventory to see when everything was last counted and verified at each location.
How to set automatic inventory counting

Once enabled, see the instructions below on how to set up your rotating inventory check.
Go to General Settings > General Settings and search for "Inventory"
The following settings can be changed on your end as needed:
- Manager responsible for verifying and closing inventory errors:
This is the person whose account the mismatch sticky is sent FROM. Usually a manager or admin. Only one name can be entered in the Setting field.
If you have multiple locations, the person you assigned will receive mismatch notifications for all locations. You can also ask support to enable manager notifications per location. - Employees responsible for verifying inventory errors:
List of employees who should receive the sticky from the person named above.
Add user names in Setting field as a comma-separated list, with no spaces between names. - Product inventory notification
- maximum allowed minutes before item is marked overdue:
How many minutes before an item is overdue. The default time is 30 minutes. - Product inventory notification - number of items to show on the screen at one time:
How many items are shown at a time on the screen. The default is 3 items.
We suggest no more than 5 to keep Tan-Link running smoothly. - The number of items to verify each time the product inventory verification runs:
This is the total number of products that will be counted each time the system runs.
So if set to 10 in the Settings field, each time it runs it will put a max of 10 items in the list to count. If someone counted 7, it will add 3 to make it 10.
