To add or update packages, go to Management > Packages > Update Packages.
Packages and Beds have a direct relationship. Packages are what you sell and the sale of that package will enable beds/groups of beds/session names.
Type of Packages-
- EFT - Monthly Billing Package
- PREPAID - Time Based Packages
- WALKIN - Sessions or Upgrades
- CREDITS
- MINUTES
- ADDON EFT's
In the left window pane, we see different types of packages already present, and this screen allows you to add or update the packages.
The center shows the information about packages such as Package Details/Description, Selling Online, Package Availability, Pricing, Commissions and Agreements and other important details of it.
Please note: If a customer is already on a membership, he cannot be sold another membership. An Add-On EFT may be sold to the customer only.
Package Details/Description: The Name and the Description of the package that displays when searched to sell the packages, is entered here.
Upsell Popup: Whenever a package is sold, the Upsell Popup will appear to inform your staff of any additional/recommended products or upgrades you want to ensure are pitched to your customers with this package prior to checkout.
Under Upsell Popup you can enter or edit the message. A different message can be entered for every package created.
Once a package is added to the cart, the Upsell Popup message will appear on the screen as shown below.
Package Type: You can identify the type of the package from here. There are different types of packages that can created, however, EFT, Prepaid, and Walk-In are the most commonly used.
EFT is the membership where the customer will draft monthly.
Prepaid is a time-based package i.e. unlimited sessions for a limited period of time. 30 days, 90 days etc.
Walk-ins are for sessions or for upgrades. Either the customer has come only for one session in a bed or service or the customer wants to upgrade a service and is required to pay an additional charge to do so.
Minutes allow a customer to buy minutes for a particular session and only pay for the amount of time they use .
Selling Online: This section is where a package's online presence is managed by and Admin.
Online Description: The description of the package that displays on the shop website is managed from here. Whatever is entered in this field will display on the website to be be viewed in the exact format as entered.
Special Note For Staff On Purchase: A special note can be added for the staff on the online purchase made by the customer.
This note will then appear on the customer's account upon check-in and can be deleted once acted upon.
Available Online: This lets you change the online availability of the package
Package Availability: This section allows you to manage the availability of the package along with any purchase conditions (how frequently it can be purchased), search rank (the order it appears when searched for when selling and online) and much more.
Sellable: With this option, you can edit whether the package is currently available for sale or not. This is of great value for any packages that you no longer sell, however, can be found on a customer's account and cannot be deleted or for promos that take place only at special times. On selection of "No"- the package will not be searchable or available to be sold by your staff and it will move to the INACTIVE packages list.
Search Terms: Any search terms entered here can be used to find and sell the package from the "Sell" box on a customer's account or the "Check Price" on the Home Screen. Multiple search terms can be used separated by a comma.
Search Rank: When multiple packages have the same Search Terms, the Search Rank is used to order the packages shown. Whichever package has the "lowest" search term will appear first in the list AND first on the online store. For example, the EFT-"Titanium" has a search rank of 10 and the "Diamond Spa" has a search rank of 30. The Titanium package will appear before the Diamond Spa EFT. We recommend spacing the search ranks in blocks of 10, to allow room to create additional packages i.e. 10, 20, 30, and so on.
Allow One Purchase in Given Days: This option allows you to set a limit on how many days after purchasing the package that a customer may purchase the given package again. Ex: If set to "7", the customer shall be prevented from purchasing the package until 7 days after the previous purchase. By setting the limit to "0"m the customer is allowed to purchase it unlimited times. "0" is the default setting. If a customer may purchase the package one time only, set it to 100000.
Allow Purchase Within Days of Joining: This option allows you to set a limit on how many days after a customer joins (is entered into Tan-Link) that they can be sold the package. Ex: If the option is set to "7", the customer may only purchase the package within 7 days of being entered as a customer in Tan-Link.
Locations: By selecting the location, you allow selling this package ONLY at the selected locations. If nothing is selected, that package can be sold in all of the salon locations.
Pricing, Commissions, and Agreements: This section allows you to manage the Prices, different taxes, ISA, Bonus Bucks, and Credits (if used), along with the agreements required to be attached to each package for signing upon checkout.
Price, Tan Tax Sales Tax, Other Tax: The total package amount which reflects on the customer screen is the total of Price+TanTax+Sales Tax+Other Tax i.e. the amount reflected on the customer screen is inclusive of all of the taxes - Base Price + taxes (if any) and total of all these ends up in the next draft amount, charged from the client.
Commission1, Commission2, Upgrade Commission, Draft Commission: When a package is sold to the customer, the system is going to pull any of the commissions mentioned here, and apply it to the staff member that performed the transaction. For Admins only, the commission will reflect on the customer's account for Commissions 1 and 2 only.
Commission1: Commission1 is only applicable in the case of upgrades or the purchase of sessions. For example, when an existing EFT member purchases sessions the commission1 would be paid out.
Commission2: Commission2 is only applicable when a Walkin member is sold an EFT For example, when a non-EFT member is sold an EFT, the staff member would be paid Commission2.
Upgrade Commission: Is applied when a lower price EFT member is upgraded to a higher price EFT.
Draft Commission: Draft Commission is paid to the staff member whom sold the membership, every time the customer drafts successfully.
To Summarize: Commission 1 and 2 are paid to the staff member at the time of sale. Upgrade Commission is paid when the customer switches from a lower level EFT to a higher level EFT. Draft Commission is paid upon successful drafts and can be viewed only by going to customer account > More Details>Account details/History.
In-Store Account Money Added on sale of this package ($ Amount): The In-Store Account Money is added on the customer's account on the sale of the package. For example, on the sale of the "Platinum Spa" package- $10 shall be credited to customer's account. The system will block usage of redeeming it the same day as purchase and will only allow on purchases starting the next day.
In-Store Account Money - Added on draft (EFT ONLY - % OF DRAFT): On each successful EFT draft, the entered percentage is credited to the customer's account in In-Store Account Money (ISA) i.e. if the draft amount is $50, and the mentioned percentage is 10% then on every successful draft- $5 shall be credited to ISA money on the customer's account.
In-Store Account Monday can be utilized in two ways. By default, all sites are set to allow ISA usage on a first product or service. However, it can be enabled in your site to require that a product must be purchased to allow the use of ISA ONLY on the second product or service. It basically becomes a BOGO. The customer MUST pay for the highest priced item, and ISA will apply to the second item(s) only UP TO the value of the highest priced item PRE-TAX. ISA cannot apply to taxes and NO COMMISSION is paid on the use of ISA by default
Bonus Bucks - Added on sale of this package ($ Amount): Similar to ISA, Bonus Bucks is credited to the account on the sale of the package and can be used at the time of package purchase to partially pay the total amount.
Bonus Bucks - Added on draft (EFT ONLY - $ Amount): On each successful EFT draft, the mentioned percentage is credited to the customer's account as Bonus Bucks. For example, if the draft amount if $50, and the mentioned percentage is 10% then on every successful draft- $5 shall be credited as Bonus Bucks on the customer's account.
Paid Credits: By default, credits are NOT enabled in your site. Once enabled and the credits mapped for each service by support, the site will require "X" number of credits to utilize each service. This will allow the customer to purchase credits to use multiple different types of equipment as long as they have enought credits, or will allow the customer to utilize the credits to upgrade to higher level services. Credits will accumulat if multiple packages are purchased and do NOT expire. Any Paid Credits can be utilized for services, even when the account is on a freeze.
